The information for each unit is maintained in the Configuration section. To edit information for a unit, select DB Maintenance from the main menu, and then Configuration from the sub-menu.

Next select a unit from the 'School/Department' drop down list and click submit.

Note: Generally, the only unit available is the same unit as the currently logged in user. If a different unit is available, or the same unit as the logged in user is unavailable, please contact computing services (sscs@uci.edu).

The following sections are available for configuration:

• Email of the Key Manager
• Contact Information
• Deposit Amount
• Key Policy Text
• Key Manager's Office
• How much money to keep in the safe
• Send Emails to person logged in
• Statement to add to outgoing email

This email will be used throughout the application as the default contact email. Some automatic emails may be sent to this address. This email may also be displayed on various pages as the source to contact if there are any problems.

This contact information is displayed when a user searches for details on a key found belonging to this unit. It is suggested to include the following information for the main Key Manager of this unit:

• Full name
• Building and room number
• Email address
• Phone number

If the accounting system will be used, this sets the default deposit amount for any keys that require a deposit. If the deposit amount is changed, it will not affect any transactions already processed.

Any text entered in the Key Policy Text box will be displayed on the key request form. Users will need to check a checkbox on the form to show they agree to the Key Policy. Policy text often includes agreement to pay deposits, responsibility for areas a key can access, or penalties for losing keys.

This is the location of the main Key Manager's office.

If the accounting system is used, reminder emails will be sent to the Key Manager when the money in the safe is too low or too high. The email will suggest either to deposit some of the funds, or to withdraw more funds if they are low. The system will track deposits and withdraws to attempt to keep the money in the safe near the amount entered.

I'm not sure, but I think if no is entered here, email will not be sent to the person logged in if they create a new key request or are added to approve a key request.

I think any text entered here will be appended to outgoing emails.
