Canon DeptID Overview
The Social Sciences Canon copiers are set up to use Department IDs (DeptID) for printing, copying, and scanning. We do not use the Users function. Each copier is managed separately by its respective department. If someone wants to print, copy, or scan from multiple copiers, they will have to contact each department for a DeptID. Similarly, each department should keep track of the identity behind each DeptID.
DeptIDs can also have a PIN associated, which acts as a password. At the very least, the DeptID associated with the department should have a PIN, as it grants administrative rights. Do not share the department's DeptID or PIN with others. If you call Canon for service, you may wish to meet with them to give them the administrative DeptID PIN so they don't end up resetting it.
Below this section is a cookbook for adding, editing, or removing DeptIDs from the Canon copier.
Summary of Terms
DeptID = used in lieu of user accounts PIN = password for DeptIDs, optional. If a user wants to securely release print jobs, this is a way to do that.
DeptID Management Cookbook
To get to the DeptID management settings, log in to the Canon copier using the administrative DeptID and PIN. You can use either the copier's web interface or the display physically mounted to the copier. The cookbook uses screenshots from the web interface, but the menus will be similar for the physical display.
Once you've logged in, click on Settings/Registration.
Then, select User Management and then Department ID Management.
